How We Store Your Information

Your personal information is stored securely in HubSpot, a customer relationship management (CRM) and marketing platform. Our HubSpot account is hosted in the Asia Pacific (AP1) region, which means your data is stored on servers located within or associated with the Asia Pacific region.

Data stored in HubSpot only. We do not maintain separate databases or export your personal information to other storage systems. HubSpot is the single system of record for all contact data collected through our website forms and enquiry channels.

Security measures

We take reasonable steps to protect the personal information we hold from misuse, interference, loss, and from unauthorised access, modification, or disclosure. These steps include:

  • SSL/TLS encryption for all data transmitted through our website
  • HubSpot's enterprise-grade security infrastructure, including access controls, audit logs, and data encryption at rest
  • Restricted internal access to personal information — only team members who require access for legitimate business purposes can view it
  • Regular review of our data handling practices

Retention

We retain your personal information for as long as necessary to fulfil the purposes for which it was collected, or as required by law. When your information is no longer required, we will take reasonable steps to destroy or de-identify it in a secure manner.

If you would like your information removed sooner, please contact us and we will action your request within a reasonable timeframe.

We do not sell, rent, or share your personal information with third parties for their own marketing, commercial, or any other purposes. Your data is collected solely for the operation of Multi-Sport Kids Academy programs and services.

We will not disclose your personal information to any other organisation except in the following limited circumstances:

  • HubSpot Inc. — as our CRM and data storage provider, acting as a data processor on our behalf under data processing terms consistent with the Australian Privacy Principles (see Section 6)
  • Legal requirements — where we are required or authorised by law, court order, or government authority to disclose information
  • Safety — where disclosure is necessary to prevent or lessen a serious and imminent threat to the life, health, or safety of any individual

HubSpot operates as a service provider only. They do not process your data for their own purposes and are contractually bound to handle your information in accordance with our instructions and applicable privacy law.

8

Children's Privacy

Our programs serve children aged 9–12. We understand the particular importance of protecting the privacy of children and young people.

Consent from parents and guardians

All personal information relating to children enrolled in our programs is collected from, and with the consent of, a parent or legal guardian. We do not knowingly collect personal information directly from children through our website or digital channels.

By submitting an enquiry or enrolment on behalf of a child, the parent or guardian represents that they have the authority to provide that child's information and consent to its use as described in this policy.

What child information we hold

We hold only the minimum information necessary for program participation and safety. This typically includes the child's first name, second name, date of birth, gender and any relevant medical or safety notes provided voluntarily by the parent or guardian.

Photographs and media

We may photograph or film children during program activities for use in our marketing materials. Separate consent is sought from parents or guardians before any photographs or footage of identifiable children are used publicly. You may withdraw this consent at any time by contacting us.

Cookies & Website Tracking

Our website uses cookies and similar tracking technologies to improve your browsing experience and to understand how visitors use our site.

HubSpot tracking

We use the HubSpot tracking script (js-ap1.hs-scripts.com) to track website visits, form submissions, and page interactions. This allows us to understand which content is useful to visitors and to associate web activity with contacts who have submitted forms. HubSpot sets cookies on your browser for this purpose.

Types of cookies used

Cookie Type Purpose
Functional Required for basic website functionality and form submission
Analytics Aggregate traffic data — pages visited, time on site, referral source
CRM tracking Linking web visits to known contacts in HubSpot after form submission

Managing cookies

Most web browsers allow you to control cookies through their settings. You can set your browser to refuse cookies or delete existing ones. Please note that disabling cookies may affect the functionality of some parts of our website, including contact forms.

Opting out of marketing communications (see Section 10) will limit HubSpot's use of tracking data in relation to your contact record.

10

Marketing Communications

We may send you program updates, news, and promotional communications by email or other means where:

  • You have provided your email address in connection with an enrolment or enquiry, and you have not opted out; or
  • You have explicitly subscribed to receive our communications

All marketing emails comply with the Spam Act 2003 (Cth). Every marketing email we send includes a clear and functional unsubscribe link. You can opt out at any time by:

  • Clicking the "Unsubscribe" link in any email we send you
  • Contacting us directly via our contact form and requesting removal from our mailing list

Opting out of marketing communications will not affect our ability to send you transactional communications related to an existing enrolment or booking (e.g., confirmation emails or important safety notices).

11
